Fill PDF forms and add signatures

Fill in forms, sign them with your own handwriting or typed signature, and check the digital signatures on documents you receive.

Check boxes, dropdowns, text fields and a visible signature.

Fill in forms

Click into a field and type. Pagewright fills text fields, multi-line fields, check boxes, radio buttons, dropdowns and lists, and keeps each field's formatting. From the Forms tab you can:

  • reset a form;
  • export the values to a file and import them into another copy;
  • save values as a template to reuse;
  • flatten the form when you save, so the answers become part of the page.
Fill in form fields and place your visible signature; the values are saved in the PDF.

Pagewright fills existing form fields; it can't create new fields yet. XFA forms (a format used by some government forms) open for viewing but can't be filled.

Visible signatures

Use Add Content → Signature to draw, type or import your signature or initials, then click where it should go. Move or resize it, and click the tick to finish. Your signature is saved for reuse only if you choose to, and you can delete saved signatures at any time in Preferences → Privacy.

Draw, type or import a visible signature. Pagewright says plainly that it is an image, not a certificate signature.

A visible signature is a picture of your signature. It does not identify you cryptographically, and it doesn't show whether the document changed later. Pagewright says this in the signature dialog.

Certificate-based digital signatures

Some documents carry digital signatures made with a certificate. When you open one, Pagewright's Digital signatures panel reports, for each signature:

  • whether the signed content is unchanged and the signature verifies;
  • whether the certificate chain is trusted by Windows on your computer;
  • whether the certificate was valid at signing time, and any trusted time stamp;
  • changes made after signing — such as comments, form filling or page edits.

Revocation is not checked, because Pagewright works offline; it is always shown as unknown. Missing certificates are not downloaded.

Signing with a certificate. Pagewright can also sign a PDF with a certificate that is already installed in your Windows certificate store; the private key stays in Windows. This has been tested with certificates created for testing, but not yet with a smart card, a USB token or a purchased certificate, and not against a public time-stamp server. Adding a time stamp is optional and off by default.

Saving a modified copy of a digitally signed PDF invalidates its existing signatures; Pagewright warns you before it does.

In this group

  • Fill PDF forms. Fill text fields, check boxes, radio buttons, dropdowns and lists. Reset a form, save and reuse values, and flatten the form when you save if you want to.
  • Visible signatures. Draw, type or import your signature or initials and place it on the page. Reuse it only if you choose to save it.
  • Check certificate signatures. See whether certificate-based digital signatures in a PDF are intact, who signed, whether Windows trusts the certificate, and whether the file changed after signing.
  • Sign with a certificate (Windows certificate store). Sign a PDF with a certificate already installed in your Windows certificate store. The private key stays in Windows. An optional time stamp is off by default.

More features

  • Edit PDF text

    Fix a typo, update a date or rewrite a paragraph in an existing PDF. Pagewright changes the words in the file itself and keeps the original layout wherever it can.

  • Organize pages

    Put pages in the right order, combine files into one, split a long document apart, and number every page — without uploading anything.

  • Annotate PDFs

    Review documents the way you would on paper — highlight, circle, point and comment — and keep every remark in one list.

  • OCR and conversion

    Turn scans into searchable documents, convert between images, text and PDF, and make files smaller — all on your own computer.

  • Batch processing

    Do the same job to a whole folder of PDFs in one go, with a report of what happened — and your original files left untouched.
